Description of document publicity
This description, prepared in accordance with the Information Management Act, helps you obtain information about Laurea’s public documents.
Laurea’s documents are described by data repository. Each data repository includes instructions for making an information request and examples of document search criteria. We will respond to your information request within 14 calendar days at the latest.
Laurea’s data repositories
Administration
The administration data repository contains documents related to the management and development of the university of applied sciences, such as board minutes, strategies and quality management manuals, which can be found on our website.
Public documents also include, among others, documents related to operational planning, decision-making and cooperation.
The records may also include personal data belonging to the stakeholder register, the processing of which is described in Laurea’s stakeholder privacy statement. Information related to stakeholders may be wholly or partly confidential.
The information is processed in the case management system and the partner management system. Information can be searched by document type, title, date of preparation and by person or company name.

Human Resources
The purpose of the human resources data repository is the planning, management, monitoring and statistics of personnel and employment matters, as well as the payment of salaries and fees. It includes personal data of Laurea’s staff, the processing of which is described in more detail in Laurea’s staff privacy statement.
Public documents of human resources are processed in Laurea’s case management system. These include, among others:
- personnel reports and plans
- plans related to competence development
- plans, proposals, minutes and reports related to occupational safety, ethical conduct, cooperation and workplace well-being.
Open job advertisements can be found on Laurea’s website. The processing of applicants’ personal data is described in more detail in Laurea’s job applicants’ privacy statement. Recruitment selection decisions are not published, but decision information is available from Laurea HR at hr@laurea.fi.
Decisions related to the management of employment relationships and the payment of salaries and fees are handled in the HR system and the travel management system and may be partly or entirely confidential.

Financial Services
The purpose of the financial services data repository is to produce external accounting and legally required financial reporting, basic financial information and to ensure lawful procurement.
Public documents from financial planning and monitoring include, among others:
- budgets
- financial statements
- operational and financial plans
- decisions related to financial governance.
Otherwise, the information is generally confidential.
Requests for tenders related to public procurements are published on Cloudia. Procurement decisions are not published, but are available from Laurea’s procurement services. Documents related to procurements may contain trade secrets and are therefore wholly or partly confidential.
Financial services information is processed in financial administration systems and the case management system. Information can be searched by document type, title, date of preparation and by author or decision-maker name.

International Activities
The purpose of the international activities data repository is to support the internationalization of Laurea’s students and to develop staff international competence.
Documents related to international mobility include personal data of both Laurea students and staff; the processing of this data is described in the privacy statement for international mobility.
Public documents include international activities’ programs and plans, reports and statistics; other information is either wholly or partly confidential.
Documents for international activities are processed in the mobility system and the case management system. Information Management
The purpose of this data repository is the planning, implementation and development of IT, communications and marketing services.
IT Administration
Public documents of IT administration include, among others, rules of use, policies and other guiding documents. Plans, reports, notifications and requests relating to information security and data protection are generally confidential.
Marketing and Communications
Public documents of marketing and communications include, among others, various plans and reports. Laurea’s promotional materials have been collected on Laurea’s website.

Real Estate and Facilities Services
The purpose of the data repository is general usability and safety of premises, maintenance, cleaning and property maintenance, as well as the functional development and furnishing of campuses and premises.
Public documents of real estate and facilities services include decisions and general plans related to the construction, maintenance, use and services of properties.
The processing of personal data related to property security is described in the privacy statement for camera and access control. Otherwise, information related to property security is confidential.

Teaching and Student Services
The purpose of the data repository is the planning, implementation, evaluation and monitoring of education and teaching. The data repository includes personal data of Laurea students, the processing of which is described in more detail in the students’ privacy statement.
Educational planning data includes, among others
- curricula
- information on study offerings, which can be found on the Opintopolku service
Information related to student selection results is not published, but is available from Admissions Services at hakijapalvelut@laurea.fi
A Laurea student can order an official electronic transcript of records and study certificate from Pakki (login required). A graduated student can order, for example, a copy of the degree certificate or a transcript of records. More information and pricing can be found on the student services pages.
University students can request their study and degree information from Opintopolku, where the information is retrieved from the national data repository for universities (VIRTA).
Laurea’s theses are published in Theseus, either in an open or restricted collection. The metadata of all theses stored in Theseus (author, title, keywords, abstract) are visible openly on the Internet. PDF files of theses saved in the restricted collection can only be opened within Laurea’s internal network. Theses in the restricted collection can be requested for viewing by contacting Laurea’s student affairs office at studentaffairs@laurea.fi.
Data related to student assessment, the implementation of teaching and student welfare are processed in the student administration system and the case management system and may be wholly or partly confidential.
Information and Publication Services (Library)
The information and publication services’ data include Laurea’s publications, which are processed in the publication data storage service. The processing of personal data in publishing activities is described in the Justus publication data collection privacy statement.
Information about Laurea’s publications can be found on Laurea’s publications website.
Information related to Laurea’s library services is processed in the library system. The data include personal data of library customers, the processing of which is described in the 3AMK libraries’ privacy statement.
Library materials can be browsed in Laurea Finna.

Information can be searched by document type, title, student number, author, decision-maker or subject of the decision, and, if necessary, by personal identity code.
Research, Development and Innovation Activities
The purpose of the research, development and innovation (RDI) data repository is the planning and implementation of research and development activities integrated into teaching.
Information about Laurea’s projects can be found on Laurea’s projects website.
Data related to the planning, organization and implementation of projects are processed in the project management system and the case management system and are generally confidential. The processing of personal data is described in the projects’ own privacy statements. Final reports and other published outputs of projects are public. Laurea’s RDI publications are collected on Laurea’s publications website.
The research ethics data consists of the activities of the research ethics committee and the handling of suspected breaches of good scientific practice, and related documents. The processing of personal data in suspected breaches of good scientific practice is described in the privacy statement.
Research permit data consists of the research permit process and related documents. The processing of personal data for research permits is described in the research permits’ privacy statement.
Public programs, memoranda and decisions of research and development activities are processed in the case management system and can be searched by document type, date and decision-maker name.

Business Operations
The purpose of the business operations data repository is to respond to customer needs, to increase external funding that complements the Ministry of Education and Culture’s core funding, and to develop Laurea staff competence in connection with business projects. Documents related to business operations may contain trade secrets and are therefore wholly or partly confidential.
Business documents are processed in the financial administration system, the partner management system and the case management system.
